Choose how to share a map

See which map access settings to use for each sharing scenario, from team-only to public, link-only, or password, with portal listing and search indexing.

If you are choosing settings for a new map, start with the audience you want.

Answer these questions in order to find your setup, then check its row in the table.

Which sharing setup fits Flowchart: keep a map to your workspace with Allow public access off; otherwise use Password if visitors need a password, Link-only if only people with the private link should open it, and Public for everyone else, where you then choose whether to list it in the public portal and allow search engine indexing. I want to share with…

What I want Allow public access Publishing mode Show in public portal Allow search engine indexing Who can open it Link used
My team only Off Not used Off Off Signed-in users with permission, including the map creator, account owner, and groups with access No public link
Everyone, listed and indexed On Public On On Anyone with the public link Public link
Everyone, listed but not indexed On Public On Off Anyone with the public link Public link
Everyone, unlisted but indexed On Public Off On Anyone with the public link Public link
Everyone, unlisted and not indexed On Public Off Off Anyone with the public link Public link
Everyone with a private link On Link-only Off Off Anyone with the private link Private link
Everyone with a link and password On Password Off Off Anyone with the public link and password Public link + Password

What each choice means

  • Public is the only publishing mode where Show in public portal and Allow search engine indexing are separate choices.
  • Link-only and Password always keep both of those settings off.
  • Turning Allow public access off also turns both of those settings off.
  • Public access can live alongside signed-in group View or Edit access. People in those groups can still use the map through their workspace permissions.
  • Team-only access still works when Allow public access is off. Signed-in users can open the map if they have the right team or owner permission.

Quick rules of thumb

  • Use Public with both discovery settings on when the map should be easy to find.
  • Use Public with both discovery settings off when you want a public URL but do not want the map listed.
  • Use Link-only when you want a private link without portal listing or indexing.
  • Use Password when you want a public link plus a password.
  • Turn Allow public access off when the map should stay inside signed-in access.
